Front desk:
– Responsibility for front desk activites
* Managing the front office – responsible for the entrance cards system and security control
* Taking care of the incoming and out coming post and courier shipments
* Providing administrative support to visiting employees from other locations
Office, Helpdesk:
* Monitoring and maintaining office supplies inventory
* Organisational support of business meetings, conferences, meet-ups and other events
– Responsibility for cooperation with external suppliers (contracts negotiations, budgets, etc)
* Maintaining high standards in the office, cooperating with the building owner and the technical team
+ supervising repairs and modernisations in the office
Organisation:
– Responsibility for cooperation with accountancy regarding invoices and costs
* Supervising the flow of the documents in the company – recording, storage and forwarding the invoices, business travels expenses and other costs settlements
– Relocations (visa, work permits, travels, flats)
* Supporting business travel arrangements for employees – flights, hotels and taxis
HR:
> Recruitment support by providing legal documents
> Onboarding & offboarding processes
> Managing benefits (medical care, group insurance, multiport, reimbursement for corrective eye-glasses)
> Managing contact with the payroll company for salaries, vacations, medical leave, etc
> Managing contact with the meal ticket company
– Fluent in English both written and verbal
– Optional French
– Working knowledge of general Windows and Microsoft Office (Outlook, Word, Excel, and Power Point)
